Campaign Approval Set Up
Marketing Campaign Approvals leverages Role-Based Access Controls (RBAC), which enables brands to decide which features and data their individual users can access. The relevant RBAC concepts to keep in mind for Marketing Campaign Approvals are:
- Roles: A predefined set of permissions that govern what a user can and cannot do within the Engage Dashboard. There are three default Roles and brands can also create custom Roles to further tailor the platform to their specific needs.
- Permissions: The specific features a user can access and the actions they can take within those features. For example, for Email Campaigns there are permissions such as Approve, Create, Delete, Send, and View.
- User Groups: A collection of users who are grouped together by an admin to further determine access rules. User Groups can be given access to specific Segments and Campaigns, while Admins can see all Segments and Campaigns.
To leverage Marketing Campaign Approvals, you can think of there being two types of Engage Dashboard users:
- Users with Create but not Send permissions for Email Campaigns, who will submit campaigns to be approved
- Users with Approve, Create, and Send permissions for Email Campaigns, who can review and approve campaign requests
Action Item: Review your brand's Roles, Permissions, and User Groups to ensure users have the appropriate access. To view these settings, log into the Engage Dashboard and navigate to: Settings > Users & Permissions.
Submitting Approval Requests
The Email Campaign creation workflow has five steps: Build, Settings, Segment, Schedule, and Review. When users with Create but not Send permissions get to the Review stage, they will see one of two things:
- If no Users in the User Group have Approve permissions, the Send button will be grayed out and the user will not be able to proceed
- If at least one User in the User Group has Approve permissions, there will be a Submit for Approval button in the top-right corner instead of Send
When the user clicks Submit for Approval, an automated email will be sent to all Users in the User Group with the Approve permission.
Approving Submitted Campaigns
To approve a submitted campaign, begin by clicking the View Campaign button in the automated email.
The Approver will land on the Awaiting Approval tab of the Campaigns page and then click the Edit button for their desired campaign.
From there the Approver can review the campaign and, if no changes are required, click the Send or Schedule button depending on the original campaign configuration.
