The Floorplan Builder allows you to create, edit, and publish your restaurant's floor plan into the Olo Host app. You'll use the Floorplan Builder to replicate your restaurant by creating rooms, deciding table locations, sizes, and shapes. You'll also add guest count values on each table as well as pre-define table combinations for large parties.
A few notes before you get started:
- Floorplan edits are made in the Engage Dashboard.
- After you build and publish your floor plan you must reset the cache on your iPads to see the updates. For information on resetting the iPad cache, click here.
- Avoid having multiple tabs open with the Floorplan editor and save/publish your work often to avoid losing your progress. If you see a 'something went wrong' message but don't have any errors flagged in the builder, try closing edit mode and then open up the editor again.
- For best performance and visibility, we don't recommend using more than 6 floor plans in a single location and shift.

1. Edit/Build Floor Plan
- From the left toolbar on the Dashboard, select the tab that says "Floorplan"
- At the top, righthand side of the page, click the drop-down arrow to select the location you want to work on
2. Adding New Rooms
- From the main floor plan page, select the button that says "+ New Room"
- When prompted, name the room (Dining Room, Patio, Bar, etc.)
- Click "Save" after typing in the room name
- You'll need to click "+New Room" for each room you add
3. Adding Tables
- From the main floor plan page, select the button that says "Edit" in the top right
- Click on "+ New" next to the "Search" field in the top left
- Click a table shape and it will automatically appear on the grid in the top left corner
- You can also click and drag the table shape from the left toolbar to the grid
- To reposition the table, single-click the table and drag it to the correct place on the grid
4. Adding Table Numbers
- Once tables are on the grid (e.g. Dining Room), add table numbers:
- Double click the shape and insert the table number into the field that says "Table Name" in the left page toolbar
- Scroll down to the bottom of the left page toolbar and click "Save Changes"
5. Resizing Tables
- Once tables are placed and numbers entered, you can scroll to the bottom of the left toolbar and select S(mall), M(edium) or L(arge) to change the table size
- Once you've selected the size you want, click "Save Changes"
- This action can be done in sequence after inserting table number
6. Changing Table Shapes
- Double-click the table that you want to change
- Click the table shape in the left toolbar that you want to replace the current table with
- Click "Save Changes"
7. Creating Duplicate Table Rows
- Create a row of tables that are correctly sized and shaped
- Left-click and hold the mouse, drag the cursor over the row of tables that you wish to duplicate. Let go of the mouse and a highlight box will appear over the selected tables
- Click "Command+C" to copy, "Command+V" to paste (ctrl+c/ctrl+v on a pc!)
- While the duplicated row is still selected, left-click and drag the row to the appropriate place on the grid
- Click an empty space on the grid to "unselect" or let go of the tables once they are in place
- This feature works for duplicating single tables, pairs, rows or entire sections of differently shaped tables
8. Creating Table Combinations
- Individual tables are often combined together for large parties. You can preset the common table combinations that you use in your dining room
- If you use table-based inventory scheduling, table combinations are factored into bookable reservations for larger party sizes
- To create a table combination:
- Select the tables to combine
- Click the "combine" icon in the top right navigation
- To edit/delete a table combination:
- Open the Table Combinations section in the left panel
- Click the ellipses (...) icon next to a table combination
- Choose either edit or remove table combination
9. Creating Section Preferences
- Section preferences can be added on the Floor Plan Builder page by clicking on the "+ New" button at the top right of Section Preferences
- Click on the "Tag Color" button to edit the color of the section preference tag
- Click into the "Name" field to add the section preference by name
- Click the blue "Save" button to update
10. Assigning Tables to Sections
- Select the tables
- Click the "Section" icon in the top right navigation
- Check the sections that the tables should be assigned to
11. Deleting/Deactivating Tables
- Click the table that you want to delete/deactivate
- Touch "Delete" or "Backspace" on your keyboard
- To delete multiple tables, left-click your mouse drag the cursor over the group of tables that you want to delete
- Touch "Delete" or "Backspace" on your keyboard
- The table will be listed under the "inactive tables" label in the left side popover menu
- To reactivate, simply click on the three dots and then click "Activate Table"
12. Inserting Table Capacities
- Double-click a table
- In the left toolbar you will see "Min Capacity" and "Max Capacity"
- In "Min Capacity" add the minimum number of guests you would seat at this table
- In "Max Capacity" add the maximum number of guests you would seat at this table
- Scroll down and click "Save Changes"
13. Precision Table Placement
- Single-click to highlight the table that needs precise grid placement
- Move your cursor to the arrow toolbar located in the right corner above the grid
- Click the arrow that points in the direction that you want the table to move
- Click the same arrow multiple times until the table is placed correctly on the grid
14. Building the Bar
- Using the same process of duplicating tables, select a round table from the left toolbar and drag it to the grid
- Double-click the round table, add a bar seat number and then resize it to S(mall)
- Single-click the bar seat and press "Command+C" and then "Command+V" to make a second bar seat
- Double-click the second table, add the bar seat number and resize it to S(mall), then place it to the direct right of the first seat
- Left-click and drag the cursor over both tables to highlight/select, then click "Command+C" to copy and "Command+V" to paste
- Drag the duplicate bar seats to the right until you have a straight line of bar seats
- Follow the same steps vertically or horizontally until you create the entire bar
15. Moving Tables, Rows, or Entire Floor Plan
- Left-click the mouse and drag the cursor to highlight the entire floor plan or just the tables or rows that you need to move
- Once highlighted, drag the tables to the correct place on the grid
- Click on an empty space on the grid to deselect after proper placement
16. Publishing Floor Plan
- When you are ready to publish, click the blue "Publish" button at the top right corner of the grid
- When prompted, click "Yes Publish" to publish the floor plan to the Host app

17. Closing Edit Mode
- Once the floor plan is successfully published, drag the cursor to the top left of the screen and click on "Close Edit Mode"
- This will bring you back to the main floor plan page
18. Switching to Build New Room
- Click on the "Edit" button at the top right corner of the grid
- Click on the "room selector" drop-down at the bottom left corner of the grid
- Select the next room that you want to build from the list
- This will take you to a blank grid where you can build your next floor plan
- Follow the same steps to create the entire restaurant floor plan
19. Common Error Messages
- "Table is not named" - This means you have a table somewhere that isn't named.
Please check your inactive table list.
If you see any "No Name" tables, activate them, assign them table numbers you don't actually use. You can try '99999' or '88888'.
Save the changes and inactivate the tables again.
